Is Your Bookkeeping System Organised or Just Existing?
The “Junk Drawer” Reality of Small Business Accounts
We recently came across a junk drawer that reminded us of many bookkeeping systems we see when taking on new clients.
Everything is technically there somewhere, but nobody knows where, why, or how it got there.
Receipts are stored in gloveboxes. Invoices are hidden in email folders called “Important Stuff”. Bank transactions have been coded based on memory. GST has been managed through a combination of optimism and good intentions.
Most business owners don’t set out to create messy systems. They are busy running their business, serving customers, managing staff, and putting out fires. Bookkeeping often becomes something that gets dealt with “when there is time”.
The problem is that poor bookkeeping doesn’t just create extra work at GST time. It affects decision-making throughout the year.
If your records aren’t accurate, it becomes difficult to answer important questions:
- Is the business actually making money?
- Which services or products are most profitable?
- Can I afford to hire another staff member?
- Why is there never as much cash in the bank as I expected?
Good bookkeeping provides answers to those questions. It also helps business owners understand what can be claimed, what cannot be claimed, and ensures there is appropriate documentation should IRD ever ask questions.
One of the most rewarding parts of our work is seeing the relief clients experience when they know their numbers are accurate and up to date.
- The bank accounts reconcile
- The GST is filed correctly
- The paperwork is easy to find
- And the business owner can focus on running the business instead of worrying about the accounts
Because sometimes the biggest thing we reconcile isn’t the bank account. It’s the difference between what clients think happened and what actually happened.
If your bookkeeping system feels more like organised chaos than organised records, it may be time for a tidy-up.
You don’t have to figure it out alone. Contact us today for a quick chat over coffee, and let’s get your systems sorted so you can focus on growing your business.
